Note: The Database Server Manager is not necessary if you do not want to have multiple users. It will only be required if you want several users to access your file.

Update QuickBooks Desktop

Updating QuickBooks Desktop will automatically update the QB Database Server Manager. Here’s how you can do so:

• Go to the Help menu at the top.
• Choose Update QuickBooks Desktop from the dropdown menu.
• In the prompted menu, select Update Now.
• Now, click on Get Updates.
• Once done, restart your computer and QuickBooks. Then, select Yes to install the updates.

Install QuickBooks Database Server Manager

• If you want to use Quickbooks and the QuickBooks Database Server Manager on the server computer, select "I'll be using QuickBooks Desktop on this computer, AND I'll be storing our company file here so it can be shared over our network." It is highly recommended that you use this option.
• In case you only want QuickBooks Database Server Manager on your server computer, hit on I will NOT be using QuickBooks Desktop on this computer.
• Follow the rest of the instructions displayed on your screen. When you're all set, choose Install. Windows may also ask for your permissions; make sure to allow them.

Note: QuickBooks creates a new Windows user for each version of Database Server Manager. For example, Database Server Manager 2023 shows up as QBDataServiceUser33.

Make sure to allow Windows permission to the QBDataServiceUserXX to access the folders that hold your company files. You may see these users whenever you configure the system-level permissions.

Configure Database Server Manager

• Launch the Windows Start menu by pressing the Windows logo key.
• Type Services in the search bar and then open Services.
• Choose QuickBooksDBXX to open it. Here, XX denotes the version number.
• Navigate to the General tab and look for Service status. If it's Started or Running, choose Stop.
• Select Automatic from the Startup type.
• Move to Logon and choose Local System account.
• Now, go to the Recovery tab and select Restart the Service from each of these: First failure, Second failure, and Subsequent failures.
• Move back to the General and choose Start to restart Database Server Manager.

You must scan your company files after installing the Database Server Manager. You can access your company files from other computers on your network after you've scanned them. This enables you to collaborate in QuickBooks Desktop from numerous machines with other users on your network.
